Privacy policy

Chamberlin Systems is a service of Chamberlin Studio, a Chamberlin Enterprises company in Harbor Springs, Michigan (“we,” “us”). We build and look after private systems, each one made for one person or household, that hold their calendar, tasks, notes and the other pieces of their week, with an AI assistant inside. This policy covers chamberlin.systems, every system we run (at its own address, such as yourname.chamberlin.systems, or a domain the owner connects), and the emails and texts that come from them.

The short version

We collect what you send us and what you put in your system, so we can build it and run it for you.
We never sell your information, we do not share it for advertising, and we do not use it to train artificial intelligence.
The assistant reads what is in your system only to answer you. It drafts messages but never sends anything on its own.
This website runs no analytics or advertising cookies.
You can ask for a copy of your information or have it deleted at any time.

What we collect

When you request a system

The request form asks for your name, email address, an optional phone number, an optional box for text messages, what you would like help with, a note about your week, and the address you would like for your system. With it, our server records the date and time, the browser type you used, and a scrambled code made from your IP address (a salted hash), which we use to stop spam and repeated tries. If you check the text box, we keep a record of the words you agreed to, their version and when you agreed.

When you use a system

Your sign-in uses your name, email address and a password, which is stored only as a secure hash we cannot read. Our sign-in provider records when you sign in, along with the IP address and browser used, to keep your account secure.

Collected automatically

Like most websites, our host receives your IP address, browser and device type, the page you asked for and the time, in short technical logs used for security and troubleshooting. This website does not use analytics, advertising pixels, or tracking of any kind.

What we do not ask for

We do not ask for Social Security numbers, bank or card numbers, or health records, and the system is not built to store them. Please do not put them in your system or send them through the form. Bills and renewals track names, amounts and due dates, and never log in to a bank.

Inside your system

Your system holds what you and the people you add put in it, and what you connect to it:

Events, tasks, lists, notes, routines, meals, trips, bills and renewals, people and dates, and any custom trackers built for you.
Calendars you connect with a private calendar link (from Google, Apple or Outlook). The system reads that link to show a copy of your events and refreshes it when you ask. It cannot change those calendars.
Email, if you choose to connect it. The system reads your messages to sum them up and draft replies for you to review. It never sends email for you.
Homes and the people who help you there, such as a cleaner or caretaker. Each of them can open a private link to the checklists you assign them, check things off and leave you a note. They do not get a sign-in and cannot see anything else in your system.
Your conversations with the assistant, and a history of every change made in your system (by you, the people you add, your staff, or the assistant), so you can review it and undo it.

You decide what goes in. When you add information about other people, such as family members, staff or friends, please only add what they would be comfortable with you keeping. Only you, the people you add, and Chamberlin Studio (to build, support and fix your system) can open it. We look inside a system only to set it up, when you ask for help, or to fix a problem.

The AI assistant

Every system has an AI assistant, and it is always labeled as one. When you write to it, your message and the information from your system it needs to answer (for example your schedule for the day you asked about) go to Anthropic, the company that runs the AI, only so it can answer you. Under Anthropic's commercial terms, neither Anthropic nor we use your conversations or your information to train artificial intelligence. The assistant can add, change and remove things in your system when you ask, and every change it makes is shown to you with an Undo. It never sends an email, a text or a payment on its own.

Your conversations stay in your system so you can look back at them, until you delete them or your system is closed. We also record how much the assistant was used (counts of words processed and their cost), without the content, to manage costs.

How we use it

To answer your request, talk with you, and build your system.
To run your system: show your information to you and the people you add, keep your connected calendars current, and let the assistant help when you ask it to.
To support you, fix problems, and build the changes you ask for.
To keep the service secure and stop spam, abuse and fraud.
To keep business, tax and legal records, and to meet legal requirements.

We do not use your information to make automated decisions about you, and we do not use it to train artificial intelligence.

There are no analytics or advertising cookies, so there is nothing to accept or reject today. If we ever add analytics to this website, it will run only if you accept it, rejecting will be as easy as accepting, and it will never run inside anyone's system. You can see what the site uses any time with Your Privacy Choices at the bottom of every page. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out. Some browsers send a Do Not Track signal; there is no common standard for it, so the site does not respond to it, but Global Privacy Control works as described.

We do not sell your personal information, and we do not share it for targeted advertising. We share it only in these ways:

With companies that help us run the service, only so they can do that work for us: Vercel (hosting), Supabase (the database and sign-in), Anthropic (the AI assistant), and Resend (system emails such as password resets).
With the calendar services you connect, which we contact only to read the calendar link you gave us.
With the people you choose: the people you add to your system, and the staff you give a private link to, who see only their checklists.
When the law requires it, or to protect the rights, property or safety of our clients, our team or others.
If the business changes hands, client records would move to the new owner, who would have to honor this policy.

Text messages and calls

Our request form has an optional box for text messages. If you check it, Chamberlin Studio may text you about your request. Message frequency varies. Message and data rates may apply. Reply STOP to any text to stop receiving them, or HELP for help. Agreeing is not a condition of any purchase, and you can always reach us by phone or email instead. We do not send marketing texts. We keep a record of your permission, including the words you agreed to and when (version 2026-10-15), for at least four years.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Your permission to receive texts and your mobile number are not shared with any third parties.

How long we keep it

Requests sent through the form, including the scrambled code made from your IP address and a copy of the notification email we receive, are kept with no set deletion date, so we can follow up and keep a record of how we met. Ask us and we will delete them.
To stop repeated tries on the form, sign-in and assistant, a scrambled code made from your IP address or your account is noted for each attempt; these notes are cleared after two days.
Everything in your system is kept while your system is open, so it is there when you need it. When you ask us to close your system, we delete its information within 30 days, except what we must keep for legal or tax reasons. Backup copies kept by our database provider age out on their own schedule.
Conversations with the assistant: in your system until you delete them or the system closes. Anthropic keeps them only for a limited time for safety and abuse monitoring, under its commercial terms.
Website logs: our host keeps short technical logs for security and troubleshooting, then deletes them.
Your cookie choice: 12 months, then the site asks again.
Text message consent records: at least four years.

How we protect it

Everything travels over encryption (HTTPS). Each system is walled off from every other one at the database level, so one person's system can never show another person's information, and only the people with access to a system can open it. Passwords are stored as secure hashes. Staff links can be replaced at any time, which turns the old link off. The companies we work with keep their own security programs. No system is completely secure, so please do not store financial account numbers or health records in your system. If a security breach ever affects your information, we will tell you as Michigan law requires.

Your choices and rights

Ask to see the personal information we have about you, or get a copy of it.
Ask us to correct information that is wrong. Most of it you can change yourself inside your system.
Ask us to delete your information or close your system.
Stop texts any time by replying STOP.

Depending on where you live, state privacy laws may give you more rights, such as the right to opt out of the sale or sharing of your information, targeted advertising, or profiling. We do not sell or share personal information or use it for targeted advertising or profiling, and we honor requests to see, correct, or delete information from everyone, wherever they live.

We may ask you to confirm a few details so we know the request is really from you, and someone you authorize may ask for you. We respond within 45 days, and if we cannot do what you ask, we will explain why and you can ask us to reconsider. We will never treat you differently for using these rights.

Children

Chamberlin Systems is for adults. A system can include information about children in a family, added by a parent or guardian, but children under 13 should not have their own sign-in, and we do not knowingly collect information from them. If you think a child has sent us information, contact us and we will delete it.

Other websites and visitors outside the U.S.

Links to other websites, including calendars and venue pages you connect, are run by others, and their own privacy policies apply. We serve people in the United States, and information is stored and handled in the United States.

Changes to this policy

We review this policy at least once a year and whenever our practices change. We will post any update here with a new date at the top, and for important changes we will also tell people with a system before the change takes effect.
